What Microsoft does not tell you clearly enough

Microsoft 365 retains your data. It does not back it up.

There is a widely misunderstood distinction between data retention and data backup. Microsoft 365 retains data within the platform — deleted items are held for a period, version history is maintained, and items in the Recoverable Items folder can sometimes be restored. But this is not a backup. It does not protect against permanent deletion by an administrator, ransomware that corrupts or encrypts cloud-synced data, accidental bulk deletion, or data loss caused by malicious insiders.

Microsoft's own documentation is explicit: customers are responsible for their data. The shared responsibility model places data protection firmly in the customer's domain. For a law firm holding client files in SharePoint, or an accountancy practice with client records in Exchange Online, the absence of a proper backup is a material risk — and increasingly, a regulatory one.

This engagement deploys a third-party backup solution that creates independent, immutable copies of your Microsoft 365 data on a daily basis, stored in a UK data centre, restorable at any time, and documented in a format suitable for regulatory review.

The setup fee covers everything required to move from no backup to a fully operational, verified backup environment. There are no additional charges for configuration complexity or user count.

Solution Selection

Konve IT selects the backup solution most appropriate to your environment and retention requirements from the approved toolset — Veeam Data Cloud, AvePoint Cloud Backup, or Acronis Cyber Protect. The selection is confirmed in the Statement of Work before you sign.

Tenant Connection

The backup solution is connected to your Microsoft 365 tenant via the Microsoft Graph API, with the minimum permissions required to access the data sources in scope.

Data Source Configuration

Backup coverage configured for all four data sources: Exchange Online mailboxes, SharePoint Online sites, OneDrive for Business accounts, and Microsoft Teams data — for all users within scope.

UK Repository and Immutability

Backup data stored in a UK-based data centre. Immutable storage configured — backup data cannot be altered or deleted during the defined retention period, protecting against ransomware that attempts to target backup repositories.

Retention Configuration

Retention period configured to your stated requirements and regulatory obligations. For law firms, this typically means SRA-aligned retention. For accountancy practices, HMRC and GDPR-aligned retention. Confirmed in the Statement of Work before commencement.

Verification

The initial backup cycle is run and verified as complete before the engagement closes. Konve IT confirms successful completion in writing. This is not a configuration exercise — the backup is live and verified before handover.

What you receive

One document. One verified backup. Compliance-ready.

The engagement closes when the initial backup has run successfully and the Backup Configuration Document is delivered. Both must be confirmed before Konve IT considers the engagement complete.

Live, Verified Backup Environment

Not a configuration record — an active backup that has completed its first cycle successfully. Exchange Online, SharePoint Online, OneDrive for Business, and Microsoft Teams data protected from the point of handover.

Administrator Access and Instructions

Your nominated administrator receives access to the backup console and written instructions for monitoring backup health, initiating a restore, and identifying failed backup jobs. The environment is handed over — not managed on your behalf unless you proceed to the Managed Backup Retainer.

Want Konve IT to manage it ongoing?

The setup engagement deploys the backup environment and hands it over. The Managed Backup Retainer takes over from there — daily monitoring, failed job resolution, monthly health reports, and an annual tested restore included. Licence cost included in the retainer fee. No separate software invoice.

What this service does not include

This is a setup and configuration engagement. Everything below is either available separately or is the client's own responsibility after handover.

  • Ongoing backup monitoring and management after setup
  • Data restoration of any kind — included in the Managed Backup Retainer or charged at £150 per event
  • Backup of data outside the Microsoft 365 tenant
  • Backup of on-premise servers or local devices
  • Third-party backup software licence fees where outside the approved toolset
  • Procurement or payment of Microsoft 365 licences
Pricing

One flat fee. No per-user component.

Unlike most Konve IT services, the setup fee for this engagement is the same regardless of how many users are within scope. The complexity of deploying a backup solution does not scale linearly with user count — the work is largely the same for five users as for fifty.

Download and complete the Microsoft 365 Backup Questionnaire. Captures your tenant URL, user count, preferred backup solution, and retention requirements. Takes approximately ten minutes to complete.

Review and sign the Statement of Work

Konve IT issues a Statement of Work within two working days of receiving your completed questionnaire. On signature and payment of the £350 + VAT fee, setup commences.
