The retainer is not a monitoring-only service. Konve IT investigates and resolves failed backup jobs, manages the platform, and produces a monthly report you can present to your board or regulator. The annual tested restore turns compliance documentation into evidence.
Backup Monitoring and Management
Daily monitoring of backup job status across all in-scope data sources — Exchange Online, SharePoint Online, OneDrive for Business, and Microsoft Teams. Failed or incomplete backup jobs are investigated and resolved within the service levels below. Platform updates and policy definition updates are applied as released. Backup software licence managed and renewed at Konve IT's partner rate, included within the monthly fee.
Backup Health Report
Delivered by the fifth working day of each calendar month, covering: backup job success rate for the preceding month; data volumes protected per source; any failed jobs and the resolution applied; storage consumption against retention limits; and any recommended changes to the backup configuration. Formatted for board or management presentation and suitable as compliance evidence.
Tested Restore
One tested granular restore per year, conducted at a time agreed with you. A sample of data — a selection of emails, files, or Teams messages — is recovered to a test destination and confirmed as successfully restored. The result is documented and provided to you. This satisfies the documented backup testing requirement for Cyber Essentials compliance and is evidence of a functioning backup under UK GDPR. Additional tested restores are available at £150 each.
User Change Management
When you notify Konve IT of new starters or leavers, the backup configuration is updated to reflect the change and the monthly fee is adjusted accordingly from the next invoice. Notification should be provided within five working days of the change taking effect. The minimum billable user count is five, regardless of actual user count.
Ad-hoc Data Restore
Need a restore outside the annual tested restore? Granular restoration of mailbox items, OneDrive files, SharePoint content, or Teams data on request — invoiced separately.
Response and resolution commitments.
Service levels are measured during Business Hours — 09:00 to 17:30, Monday to Friday, excluding English public holidays — from the point at which Konve IT becomes aware of the issue through monitoring or notification from you.
Konve IT is not liable for backup failures caused by changes made to the Microsoft 365 tenant without notifying Konve IT, Microsoft platform outages, or the client's failure to maintain valid Microsoft 365 licences for users within scope.
This retainer covers the managed backup layer only. Everything below is either available separately or falls outside Konve IT's scope entirely.

The monthly retainer fee includes the backup software licence at Konve IT's partner rate. There is no separate licence invoice. The fee adjusts as your user count changes — you are billed for the environment you actually have, not a fixed contract size.

Retainer Terms
From the commencement date confirmed in the Statement of Work.
Renews for successive 12-month periods unless either party gives 30 days' written notice before the end of the then-current term.
Issued on the first working day of each calendar month. Payable within 14 days.
Fee adjusts from the first invoice following written notification of a user count change. Annual rate review with 30 days' notice.
The retainer commences on the first day of the calendar month following the backup setup being confirmed as live.
Don't have the backup environment set up yet?
The Managed Backup Retainer assumes that the backup solution has already been deployed and the initial backup has been verified. If you are starting from scratch, the Backup Setup and Configuration engagement deploys the environment first — flat fee of £350 + VAT, payable upfront, typically complete within two to three working days.
Three steps to a running retainer.
If your backup environment is already live — whether deployed by Konve IT or a previous provider — the retainer can begin immediately. If setup is needed first, both can be started in a single engagement.
Complete the onboarding form
Download and complete the Konve IT Client Onboarding Form. If you have already submitted this for a previous engagement, you do not need to complete it again.
Complete the service questionnaire
Download and complete the Microsoft 365 Backup Questionnaire. Confirms whether the backup environment is already live, which solution is in use, user count, and preferred reporting contact.
Review and sign the Statement of Work
Konve IT issues a Statement of Work within two working days. The retainer commences on the first day of the calendar month following the backup environment being confirmed as live and the SoW being signed.
